# Actions & Maintenance

Your declaration asserts that you've **taken action** to reduce risk — and keeping that true is an ongoing job, not a one-off. The **Actions & maintenance** tab of the range's compliance hub holds both halves:

* the **maintenance plan** — the upkeep you've committed to doing, once or on a repeating schedule, and
* the **action log** — the structured record of measures actually in place, which stands up far better on inspection than a free-text note.

## Planning a maintenance task

1. Click **Plan a task**.
2. Choose a **best-practice measure** from the library, or describe the task in your own words.
3. Say **where** it applies and **how often** it needs doing — pick "Just once" for one-off jobs.
4. Set when it's **first due**.

Each task shows when it's next due, turning amber as the date approaches and red once it's overdue. Due and overdue tasks also appear in **What needs doing** on the hub's Overview tab.

Tasks linked to a [backstop](/for-club-admins/reach-compliance/site-environmental-profile.md) can also be scheduled **by rounds fired** — for example "de-lead after 20,000 rounds per lane". Range Mate counts your shooting records into each backstop and makes the task due when either the date or the round count arrives, whichever comes first.

The quickest start: click **Adopt NRA schedule** next to a backstop and the NRA handbook's recommended upkeep for that construction type — round-count de-leading plus a monthly inspection — is added to your plan in one tap. On **indoor ranges** this also plans the indoor essentials: a specialist deep clean at the frequency the NRA recommends for your rate of fire, routine dust-control checks and a ventilation check.

For planned **lead recovery**, choose the **Reclamation** category. Those tasks are completed by logging a [reclamation](/for-club-admins/reach-compliance/lead-reclamation.md), so the recovered mass and waste trail are captured properly.

## Recording an action

When the work is done, click **Mark as done** next to the task — the form arrives filled in from the plan, so it's usually just confirm-and-save. Recording it moves the task's next due date forward.

You can also record a one-off measure directly with **Record an action**:

1. Choose a **best-practice measure** from the library (grouped by category), or leave it blank to describe your own.
2. Add a **description** of what's actually in place at your range (be specific, e.g. "Earth bund raised to 4m behind butts 1–4").
3. Record the **area/feature** it applies to and the **date** it was done.
4. **Attach evidence** — photos or documents showing the measure.

Picking a measure from the library sets its category for you. The library covers the recognised approaches: containment (earth bunds, sand bays, rubber granulate), preventing contaminated material escaping the site, storage, vegetative cover and soil amendments, and procedures.

Removing recovered lead from butts or traps is **not** recorded here — record it as a [lead reclamation](/for-club-admins/reach-compliance/lead-reclamation.md), which captures the mass recovered, the method and where the lead went.

## Retiring a task

If a repeating task no longer applies (say the sand traps were replaced), use **Retire** rather than delete — the task stops coming due but everything recorded against it stays in your history.

## The action library

The library of best-practice measures is **maintained centrally by Range Mate** and kept aligned with recognised guidance, so every club draws on the same wording. You choose from it; you don't need to maintain it.

## Where it shows up

The action log renders as the "actions taken" part of your [evidence pack](/for-club-admins/reach-compliance/dashboard-and-evidence-pack.md), and having at least one action recorded is one of the requirements for marking a [declaration](/for-club-admins/reach-compliance/declaration.md) ready.
